How does the New Online Process work?

1. Select a group leader or contact person.

2. The group leader calls Donna van Brussel at Squire John's office (705-445-4606) to set up the online booking information for your group. This should be done as soon as you book your event at Beaver Valley so the online site is ready when your invitations go out and you have all the information your participants will need. You will be asked if you are paying as a group (recommended) or if each person will be paying for their own rentals. If paying as a group a credit card number will be required to guarantee the rentals. If paying individually each person will need to provide a credit card number to the online system to process their request. This is a secure site so your credit card information will be safe.
   
   The group leader also decides whether they will enter all the information for each member of their group or whether they will have each person register themselves. If you are not comfortable asking your guests for their personal information the second option is the best choice.
   
   Each person booking rentals will need to provide the following information: first and last name, gender, what equipment they wish to reserve, weight, height, shoe size, age and whether they are a cautious, moderate or aggressive skier/boarder. Snowboarders will also need to say whether they want right or left foot forward (strongest foot usually at the back). All of this information is required to ensure the equipment is properly and safely set for each renter. We also ask for address, phone number and email in case there are any problems with the request. A work address is fine.
   
   Reservations with incomplete information will not be processed so it is best to pass all this information along in your invitation. Reservations are cut off and the online site locked three business days before an event.
   
   Until the site is locked group leaders or members may edit their information. Deletions to the group can be made by calling Donna up until 3pm the business day prior to the event day if the website has already been locked. After the site is locked additions to the group can only be by telephone so we can ensure equipment availability so it is strongly advised renters book early.

3. Those without internet access will need to call Donna van Brussel (705-445-4606) to arrange rentals. Please note all the information above will be required for phone orders or they cannot be processed.

4. Payment for the group rentals must be paid on the day of your event in the Squire John's store at Beaver Valley. Cash, cheque, credit card or debit card may be used for payment. Please remember that if you pay as a group, you will all be on the hill that much faster. Individual payment slows things down considerably.

5. Any additional people accompanying your group that have not reserved, must wait until all of the reserved groups have been serviced, and there is no guarantee that we will have all of the equipment available so make sure that all people that are participating have reserved equipment early.

6. NO SHOWS - If a person does not show up that has reserved equipment (and has not cancelled by 3pm the business day before), they will be charged the full rental amount, applicable to the group's bill, the group leader or their own credit card if we have it.
